Fall 2007 SHAC Minutes

Jeanette Holding began the meeting by introducing the group and the new members. She stated that the committee generally meets two times per year.
Cindy Dunkerley spoke about a new program for the 3rd grade students. "Balance Your Day With Food and Play." She stated that if the teachers could take care of covering the food part of the program, as the Physical Education teacher, she would take care of the play portion. Forms were provided to be sent home to parents for permission to participate. Since the program covers information that is already in the curriculum, Mrs. Dunkerley did not feel as though the forms would have to be signed for students to participate. Some of the items that are to be used in the program are measuring cups, food pyramid, paper plates, and samples of nutritional facts. Packets were to be distributed to the administrators for final approval. It is a good program that is being provided to us for free. It lasts 6 weeks and covers TAKS objectives. Mrs. Dunkerley plans to meet with the Health teachers from Third Grade to talk more about it.
Nurse Holding spoke about the "Aim for Success" program that was introduced last year to Henrietta ISD. It covers abstinence, sex, and STDs. This committee has made great progress getting this correct information to our district. The program will return December 17, 2007 with the parent meeting at the High School Auditorium. The high school program will be December 18, the first group will be 9th and 10 grades followed by 11th and 12th grades. That afternoon the program will move to the Junior High with the 6th graders, followed by the 7th and 8th grades together. This year is part 2 - "Freedom to Succeed: Why Choose Abstinence...It's the Law." The program costs the district $1254. David Gordon at Region 9 has grant money that will cover the cost to our district. Nurse Holding handed out and informational flyer that had a true story testimonial . Information will be published in the school newsletter as well as the Clay County Leader closer to time for the program.
Kim Hollar was introduced as the new Food Services Director.
Those parents present received a parent questionnaire to be filled out.
The committee found out that the Wellness Policy had received some updates since last year. There are still some dates that may need to be updated.
A question was brought to the committee about whether the coaches use detergent to clean athletics clothes. Some were under the impression that they only used hot water. At the Junior High, the clothes are not allowed to come home; they must remain on campus and are washed on campus. Nurse Holding will check on the washing of the athletic clothes. Also, the committee discussed the fact that if a student has an infection that is running they should report it to the coaches and those kids' clothes should go home to be washed. Nurse Holding thought, and Kim concurred, that the uniforms are washed daily. Also, the equipment is supposed to be washed daily.
The next meeting will be in the spring.

Agenda Items
1. Balance Your Day with Food & Play – Sherri Halsell & 3rd Grade teachers.
Lisa Davis and the 3rd Grade Teachers said this was a good program and the kids enjoyed it. They did one block at a time. It didn’t take as long as they expected. Results will come from College Station. It was a free service; there was no charge to the district. Once results come back, we will get a nice pamphlet along with some cute pictures of the kids to share with the district and the board.
2. Do Well, Be Well with Diabetes – Sherri Halsell
Sherri handed a pamphlet out. If anyone is interested, they can be a part of these lessons during May at Clay County Memorial Hospital @ 10:00 in the meeting room. There will be five lessons.
3. Healthy & Wise – Jeanette Holding
We are required to implement one of 3 approved programs. Jeanette Holding, Julia Burlison (6th grade PE teacher), and Tracie Barry (6th grade health teacher) went to Region 9 to preview the 3 approved programs. SHAC is required to approve whatever is picked for the school. Healthy & Wise seems to go along with the current program the best. It coordinates with what we are already doing, rather than introducing a whole new program. Training will be covered by Region 9. Healthy & Wise allows for parents to get online and be involved in the program. du’Rae made the motion to adopt the program. Kim Hollar seconded. The vote was unanimous to adopt the program. This program will be used for 6th grade Health, and can be incorporated into 7th and 8th grade subjects. Cindy Dunkerley is also planning to move to Healthy & Wise to go along with what the Junior High will be doing.
4. Aim for Success – Jeanette Holding
The second Aim for Success program, “Freedom to Succeed”, was presented at Junior High and High School on Dec. 18, 2007. We had positive results. The student survey responses were shared with the campuses. The third Aim for Success program is “Achieve Success”. Aim for Success strongly encourages that if you are going to participate, that you do all three programs. We have requested funding to cover the third program from David Gordon. David requested that if we are funded for the third year of the program that we would track our pregnancy statistics at our campuses for year one, two, and three. Next time for the Aim for Success program, we discussed the need to stress the importance of the parent meeting. It is new information each time and very valuable information for the parents to hear. Kim Hollar made the motion to accept. Angie Duncan seconded. The vote was unanimous to go forward with the third Aim for Success program, “Achieve Success”.
5. Miscellaneous Discussion
At our next meeting, we would like to have someone from each of the campuses that is knowledgeable about the drug testing program, come to give some information about how it works. What shows up in testing, and what doesn’t - especially with prescription and over-the-counter medications. What students participate in drug testing, and who is excluded. Also we would like to have someone from all three campuses go over what drug education is done at each campus.

• Mr. Zamzow and Mr. West presented the drug testing program for Jr. High and High School. The testing is done by an outside company and the students to be tested are randomly selected. The students selected are in extra-curricular activities or drive a car to school and park on school grounds. The program was implemented as a deterrent for students and to help students make healthy choices.
• Drug Education from each campus was presented. High school uses their health and science classes. Serenity Foundation also comes into the Biology Classes for one week to present a program. The Jr. High uses their health class in 6th grade, assembly program, and science classes. The elementary campus teaches character education in Head start – 5th grade, making good choices, and grade appropriate drug education in each classroom.
• Sherri Halsell shared the “Balance Your Day with Food and Play” program that is implemented in 3rd grade. At the next meeting Mrs. Halsell will share the evaluations. This program encourages healthy eating and exercise.
• Mrs. Halsell also talked about the Food Handlers Program which is for all school cafeteria employees. Mrs. Halsell and Mrs. Hollar will coordinate this together.
• Mrs. Holding presented the information for the 3rd program on Aim for Success which is for Jr. High and High School students. Parent night will be Dec. 15 6:00-7:00 p.m. and DEC. 16 will be the program for High School in the morning and Jr. High in the afternoon. Suggestions for how to promote the parent meeting were discussed.
• Health Fair for 4th and 5th grade will be March 13. There will be eight presenters and students will rotate every 15-20 minutes to hear each presentation.
• A wellness program for staff was discussed to give employees information on health issues. Staff members who have the school insurance already receive information from Blue Cross Blue Shield.

1. 4th and 5th Grade Health Fair – Sherri Halsell
Great response this year – most said it was “excellent”. The kids really enjoyed the fair, especially stations like the “Zumba” exercise station and the dance station. Sherri did a really neat display using water bottles stacked in a pyramid. The kids were challenged to guess how many gallons the bottles represented. This display represented the amount of coke per year that the average American drinks resulting in 64 lbs of sugar! The 4th and 5th Grade Health Fair is a program that Jeanette does every other year and will be planned again for the year after next.
The 3rd grade teachers participated again this year in the Balancing Food & Play program. It is a program that includes a workbook, activities and 40 hours of lessons. Everything is connected to the TEKS. It also includes before and after evaluations from the students which can be kept on file to document our nutrition compliance in our curriculum.
Sherri is also working with Kim Hollar on Food Handler’s Training. They are looking into places in the community (like local churches) where it could be offered so that we could involve volunteers to be trained that will help run concession stands.
2. Aim for Success – Jeanette Holding
This concluded the 3rd year of the 3 year abstinence program. Jeanette provided the results from the surveys that the students filled out during the programs at the junior high and high school campuses for the committee to review. David Gordon, Region 9 has provided the funds to bring this program to our district for the last 3 years. We are not sure if we will continue to receive funds in the future to bring this program again, or to bring an alternative program. The committee discussed the possibility of the program, “Power to Succeed” which is a program encouraging students to avoid tobacco, alcohol, and drugs. Sherri mentioned that she might be able to use tobacco grant money to pay for this program if it covers enough on the tobacco topic. The committee discussed asking for funding for both programs, “Aim for Success” and “Power to Succeed”.
The SHAC discussed how to promote parent involvement through attendance to the Parent Program offered the night before the presentations at the schools. Some ideas included having the community help sponsor the meeting, for example having the parent program at a church or the community center and having community organizations help with hosting it, possibly students from local youth groups. The committee also suggested a drawing giveaway or some other incentive for the parent and/or student whose parent attends the parent meeting. Other ideas included mass e-mails, personal invitations, or even a phone tree.
3. Staff Wellness – Jeanette Holding
(United Reference Lab Wellness Panel)
The lab (United Reference Lab Wellness Panel) came to HISD on Tuesday, March 24th from 0700-0900 in the HES gym. The cost for the lab work this year was $15.00. The testing included: CBC (WBC count, RBC count, Hgb/Hct and Platelets), Lipid Panels (Cholesterol, LDL, HDL, and Triglyceride) and Blood Chemistries ( Glucose, Sodium, Potassium, Carbon dioxide, Liver function tests, and Kidney function tests.) The PSA screening was also available for men for $15.00 (screening for prostate cancer).
United Regional also had a table set up providing information on bone density testing for osteoporosis, breast self exam and mammography with the message of prevention through early detection. Each campus donated $20 plus the PTA provided food for breakfast since the blood tests had to be done after fasting. We had a great turnout this year with 75 participants (staff and spouses). The results indicated 55% abnormal bad cholesterol, 29% abnormal triglycerides, 12% abnormal glucose, and 8% abnormal hemoglobin.
4. Bullying and Self Esteem – Nicki Holbert
The junior high has scheduled David Gordon to come do a program with the 7th graders to promote healthy self esteem and bully awareness/prevention. The campus is looking at scheduling him to come for extended programs for the 7th and 8th graders during the 2009-2010 school year that would deal more extensively with bullying prevention and self esteem.

- The SHAC lost Janet as a member, but gained Kelly Holcomb and Shannon Fletcher as new SHAC members.

Introduction of New Members
Explanation of the SHAC and its purpose.
Cindy Dunkerley – TETN Meetings:
Cindy has been trying to stay on top of student health topics, requirements and new legislation through watching the TETNs. After watching the first TETN, she felt like our district was ahead of the game. The state uses the TETNs as a vehicle to explain to school districts what they are wanting. We are currently working on a needs assessment to meet some of these requirements. Parents/Public access to the school wellness policy that is adopted by the district is posted on the website for public information. HES and HJH use the Catch program, which is a state adopted PE program.
In January (Jan 3-12) Cindy will do the fitness testing and send the report to Austin.
Campus Needs Assessment:
One of the new state requirements is that the SHAC must meet 4 times per year. Our next meetings are scheduled for Jan. 20 and Feb. 17. The SHAC report must be ready to present to the school board by the March 11 meeting. Our goals for our Jan. 20 meeting will be to go over the needs assessment. The Feb. 17 meeting will be used to talk about the report to be presented to the school board and what we have accomplished for the year. David Gordon is going to get a needs assessment survey together to put on our website. The high school has one online already, so the SHAC is going to wait until later to post the needs assessment survey. Jeanette passed out the survey from David Gordon for the members to review. She had already noted some corrections to be made. There was another suggestion to add “I don’t know” or “unsure” and/or “possibly” as answer choices. Other suggestions included adding drug use including using non-prescribed prescription drugs. The SHAC discussed possibly using Randy Zamzow’s safe and drug free schools survey, or at least see what questions are already covered within that survey. There was also discussion about gearing the questions to give us the kind of answers that will help us figure out what our needs are as a school district.
AIM for Success dates:
The parent night is scheduled for Tuesday, March 9 from 6-7pm at the HHS Auditorium. At the next meeting, the SHAC will discuss ideas to advertise and promote attendance to this parent meeting. The student program will be on March 10 in the morning at the high school and in the afternoon at the junior high.
Other:
The SHAC members will take the sample surveys home and review and make corrections and suggestions and bring back to the next meeting to discuss and finalize. Randy Zamzow will bring his survey that he puts on the website to see what information is already being collected that could be used for the needs assessment. Jeanette will also check with Scot Clayton to see if he does any surveys that might have information to help with the SHAC survey needs.

January 20, 2010

Erin Turner, HHS Health Teacher:
Erin talked about the PAPA Program, which stands for Parenting and Paternity Awareness.
This is a new program that is required at the high school level that involves annual training. Erin sends an informational letter home at the beginning of the class listing the 12 topics that will be covered.
Jeanette was completing a TEA survey. The question was asked, “What percentage of our high school campuses gives CPR instruction”. The answer was “All Campuses”.
Human Sexuality instruction is included in junior high and high school health. The parents are notified of the right to opt out of the instruction and to access curriculum upon request.
Campus Needs Assessment:
The SHAC is still in the process of looking at options to aid in the development of the Campus Needs Assessment. There are 2 surveys that are currently done in our district through Survey Monkey. The SHAC reviewed these 2 surveys to see how relevant the items would be to use towards the campus needs assessment.
• Mr. Zamzow’s Drug Survey: Jeanette shared a copy of Mr. Zamzow’s Drug Survey. The group reviewed the survey to see how it could be used towards the SHAC’s Campus Needs.
• Mr. Clayton’s Educational Survey: Jeanette also shared a copy of this survey. It included more general educational questions, but not topics dealing with drugs, bullying, or health related topics. Mr. Clayton will have another survey sent out in the spring. We discussed reviewing this survey to see if any parts might include the kind of information the SHAC is looking for.
• Region 18’s survey was discussed to decide if it might include appropriate questions that we could use for our survey. A few members commented that it included language and acronyms that they felt like parents and students would not easily understand. But that it could be used as a starting point.
• The one area that the SHAC felt like we might need assistance in developing and including relevant and meaningful questions in the survey would be the Counseling and Mental Health area. We discussed reviewing the other region’s survey to see if it included relevant questions that we could use.
Aim for Success Dates & Parent Night:
The Parent night is scheduled for March 9 from 6-7 pm in the Henrietta High School Auditorium. The student program will be on March 10 in the morning at the high school, then in the afternoon at the junior high. To encourage parent attendance at the parent meeting, the idea was suggested to see if the English teachers would give extra credit to students who had a parent or guardian show up at the parent night on their behalf. The suggestion was made to send an informational flyer about the parent meeting home through the English classes explaining how they student could benefit if a parent attended. We also suggested getting a parent email database set up so that a broadcast email could be sent to parents to let them know about the parent meeting.
Other:
Jeanette will ask Erik or Kellie to come to the next meeting to talk to the SHAC about begin able to send out the broadcast emails to parents to share important information.
Jeanette thinks that she will have money in her budget to bring in the AIM for Success Drug Program for the Junior High and the High School. We will look at scheduling that parent meeting and student programs in May.

February 17, 2010

Kellie Harris, HISD Technology:
Kellie came to talk to the committee about the ways to get information to parents using email or cell phone texting. She explained how the district and campus listserv worked, as well as an email distribution list through a program such as Outlook. She recommended that since the district already subscribes to the listserv service through our website, that we use that as the way to send messages to parents. She said at this point sending text alerts to parents cell phones was not an option. The committee discussed ways to promote parents to sign up for the listserv. The following suggestions were made:
• Send information to parents about how to sign up through the elementary newsletter.
• Put a message on the report card.
• Have the sports club send out the information about signing up through their distribution list.
• Have the parents sign up at student registration before school starts either on a workstation, or on a signup sheet that would later be input into the listserv by a campus or HISD employee.
• The counselors at each campus would help coordinate the efforts at their respective campuses to get parents to sign up.
Annual Report:
The SHAC Annual Report is due April 1, 2010. It will be presented to the school board at the March 11, 2010 school board meeting. Jeanette presented a draft annual report which the SHAC reviewed and finalized. See attached report.
Planning for Next Year:
At the beginning of the school year next year, Jeanette will send out the dates for the 2010-2011 SHAC meetings. Mark Klyn has agreed to come to first meeting to discuss the possible addition of the counseling and mental health survey questions that could be added to the current district surveys. The SHAC will use the information from Mr. Zamzow’s and Mr. Clayton’s surveys in addition to the possible addition of the mental health questions to assess the district’s needs.
